Acceptable Use Policy

This Acceptable Use Policy ("AUP") sets rules for using the websites, portals and services operated by Stephen Michael Mornington, a sole trader trading as Apex Vehicle Solutions ("I", "me", "my"; and where the site says "we" or "Apex", that means the same sole trader).

It applies to apexvehiclesolutions.co.uk, apexfiles.co.uk, and all customer, dealer, technician and staff tools on those domains. It forms part of the Terms of Service. If you do not agree, do not use the services.

I am not a limited company and not any third-party company that may use a similar name.

1. Purpose

This AUP protects customers, technicians, the platform and the public. It stops misuse of bookings, file services, portals and field tools, and helps keep services lawful and secure.

2. Who this applies to

  • Visitors to the public websites;
  • Customers who book or enquire about mobile services;
  • Dealers and trade users of the ECU file portal (apexfiles.co.uk);
  • Technician applicants and approved field technicians;
  • Anyone using APIs, forms, uploads or accounts linked to the platform.

3. General rules

You must:

  • Comply with UK law and these Terms / AUP / Privacy / Cookie policies;
  • Provide accurate information (identity, vehicle, address, trade details);
  • Use the services only for legitimate automotive and trade purposes;
  • Keep account credentials confidential and not share staff or other people’s logins;
  • Treat staff, technicians and other users with reasonable respect.

You must not:

  • Use the services for any unlawful purpose;
  • Impersonate another person or business;
  • Attempt to buy, sell or facilitate work on stolen vehicles;
  • Harass, threaten or abuse anyone connected with the services;
  • Circumvent suspensions, bans or security controls;
  • Use the brand or sites to suggest you are a different limited company.

4. Security and systems

You must not:

  • Probe, scan or test vulnerability of systems without written permission;
  • Introduce malware, ransomware, bots or harmful code;
  • Attempt unauthorised access to accounts, data, servers or networks;
  • Overwhelm the service (DDoS, excessive automated requests, scraping that harms performance);
  • Bypass rate limits, authentication or role checks;
  • Reverse engineer the platform except where UK law expressly allows;
  • Use another user’s session, API key or payment method without authority.

5. Vehicles, authority and crime

  • You may only request work on a vehicle if you are the owner or have the owner’s clear authority (or other lawful authority).
  • You must not request services to facilitate theft, fraud, cloning, cloning of keys for unlawful entry, or odometer / identity fraud.
  • You must not upload or request files intended for stolen, cloned or fraudulently obtained vehicles.
  • I may refuse, cancel or report jobs where criminal use is suspected.

6. Locksmith and security work

Auto locksmith and similar security work is subject to ownership / authority checks. You must:

  • Cooperate with verification (ID, V5C, proofs of ownership/authority as requested);
  • Not pressure staff or technicians to skip checks;
  • Not use the service for unauthorised entry or keying.

Work may be refused or stopped if checks fail. See also the Ownership / security policy.

7. Trade ECU file portal (apexfiles.co.uk)

Dealer / trade users must:

  • Only use the portal if competent (or under competent supervision) to handle ECU files safely;
  • Upload only files and data you are entitled to process;
  • Not request maps or options for unlawful road use where you know the intent is illegal (you remain responsible for local law, emissions and insurance);
  • Not resell or redistribute portal outputs in breach of the Terms or any stated licence;
  • Not attempt to reverse-engineer file processing systems;
  • Not share dealer accounts across unrelated businesses without permission;
  • Not abuse credits, payment flows or refund processes.

8. Field technicians

Technician applicants and approved techs must:

  • Provide truthful skills, coverage, insurance and qualification information;
  • Only accept jobs they are competent and equipped to perform;
  • Use customer personal data only to deliver the assigned job and not for marketing or other misuse;
  • Not harass customers or misuse maps / coverage data;
  • Update job status honestly;
  • Not subcontract Apex-assigned work to unknown third parties without agreement;
  • Comply with road safety, workplace safety and applicable law on site;
  • Not present themselves as employed by a limited company they do not control, or as the wrong legal entity.

9. Content and communications

You must not upload, post or send content that:

  • Is illegal, fraudulent, defamatory, hateful or grossly offensive;
  • Infringes intellectual property or confidentiality;
  • Contains personal data you have no right to share;
  • Is spam or unsolicited bulk marketing via platform tools;
  • Misleads others about services, pricing or identity.

10. Coverage tools and personal data

  • Coverage checkers and maps are for finding service availability, not for stalking or targeting technicians.
  • You must not attempt to reverse approximate map pins into precise home addresses for misuse.
  • Personal data obtained through the platform must be handled under the Privacy Policy and UK data protection law.

11. Enforcement

If you breach this AUP I may, as appropriate:

  • Refuse, cancel or reverse a job or file request;
  • Limit features or require extra verification;
  • Suspend or terminate accounts;
  • Remove content;
  • Report matters to the police or other authorities;
  • Take action to recover losses where the law allows.

Where reasonable I will explain the action taken, unless law or security prevents that.

12. Reporting abuse

Report suspected abuse, security issues or unlawful requests promptly:

For emergencies involving crime in progress, contact the police first (999 / 101 as appropriate).

13. Changes

I may update this AUP from time to time. The "Last updated" date will change. Continued use after changes means you should review the new AUP.

Summary

Use the sites and portals lawfully. No crime, no unauthorised vehicle work, no security abuse, no harassment. Trade files and technician tools are for legitimate professional use only. Breaches can mean refused jobs, closed accounts and reports to authorities.
